When documents are worth uploading

The AI setup step can read documents as well as your website. This is worth doing if your site is thin, image-heavy, or years out of date.

What to upload

Anything that describes what your firm does: a capability statement, a services list, a brochure, a proposal you've sent to a client, an internal one-pager about your practice areas.

The limits

Choosing files

  • Up to 20 documents per scan.
  • Up to 10 MB each.
  • Accepted formats: PDF, Word (.docx), PowerPoint (.pptx), plain text, RTF, CSV and Excel (.xls, .xlsx).

A PowerPoint deck is read properly — the slide text, the tables and the speaker notes — so a capability deck is one of the better things you can give it.

If a file is too big, there are too many, or it's a type we can't read, you're told which one and nothing is scanned. You'll never be left thinking a document was read when it was skipped.

⚠️ The old Office formats aren't accepted: .doc and .ppt (pre-2007) can't be read reliably, so they're refused rather than quietly ignored. Open the file and save it as .docx or .pptx — it takes a moment and the scan then reads every word of it.

What happens to the file

We read the text out of it during the scan and we don't keep the file afterwards. It isn't attached to your firm, it isn't visible to other firms, and it isn't stored for later.

Getting a good result

Fewer, better documents beat everything you've got. The scan reads a lot of text but not an unlimited amount, so three documents that describe your services beat twenty that mention them in passing.

Prefer text-based PDFs. A PDF that's really a scan of a printed page is a picture, and there's nothing in it to read. If you can select the text in your PDF reader, so can we. The same goes for a deck whose slides are exported images.

Say the thing plainly somewhere. "We prepare individual and corporate tax returns, and we audit employee benefit plans" gives the scan something to match. "Excellence, delivered" doesn't.
